Corporate event entertainment San Antonio teams hire for trade shows has different rules than a wedding ballroom. DJ Stash ran the Texas Nursery & Landscape Association “Welcome To San Antonio Party” at Nursery/Landscape EXPO 2026: 1,600 guests, 90 minutes, Hall 1 of the Henry B. González Convention Center, on a working exhibit floor.

TLDR

DJ Stash delivered DJ services, sound reinforcement, and event lighting for TNLA’s opening-night reception. We sound-checked before doors, used four column arrays for even coverage, and finished the full program on time with zero sound complaints from neighboring exhibitors.

Bottom Line Upfront {#brief}

TNLA’s Nursery/Landscape EXPO is one of Texas’s largest green-industry trade shows (about 4,000 attendees and 900 exhibitors). The official opening-night reception opened the show on the Hall 1 floor.

Client: Texas Nursery & Landscape Association
Event: Welcome To San Antonio Party
Venue: Henry B. González Convention Center, San Antonio
Date: August 2026
Scope: DJ/entertainment, sound reinforcement, event lighting
Scale: 1,600 guests · 90 minutes · working exhibit hall

Association and company nights put brand, sponsors, and a conference clock in the same room. DJ Stash treats that as production work, not a playlist drop.

What makes large-room company entertainment hard {#challenge}

Ninety minutes. No build time in the program. A concrete hall built for forklifts and booths, not a private dance floor. Guests needed energy from the first badge scan without shouting over the music, and without sound bleeding into exhibitor spaces sharing the floor.

If the room is too quiet, the welcome falls flat.
If the room is too loud, neighboring booths become the organizer’s problem.

That is the real standard for large-room entertainment in San Antonio convention spaces.

How we produced the association welcome party {#approach}

Convention-fluent load-in and power

Dock scheduling, house power interface, and placement along the drape line were coordinated with show management. We set, cabled, and sound-checked before doors. Guests walked into a finished room.

Sound built for the hall, not one loud corner

Four column arrays, each on its own sub, sat across the reception footprint instead of stacked at one end. Goal: even coverage at conversation level. One loud corner and three quiet zones is how large halls fail.

Exhibitors first on a shared show floor

Before doors, we walked the footprint and introduced ourselves to vendors sharing the floor. Each one knew they could come to us directly about levels. Handling sound upstream keeps the organizer out of the middle.

A 90-minute arc for the company reception

Alive at doors. Deliberate build through the body of the night. Peak around minute 70 to 85. On-time landing so guests left smiling and the conference stayed on schedule.

Production that photographs like part of the show

Truss-mounted profile fixtures, clean sightlines, cable management that holds up in photos. Intentional production is part of the brand in the room.

Outcomes{#results}

  • 1,600 guests, full 90-minute program delivered on time
  • Even coverage across a working exhibit hall: energy without drowning conversation
  • Zero sound complaints from neighboring exhibitors
  • Unprompted compliments from organizers, bar staff, security, and attendees on sound, lighting, and the look of the setup
  • A trade-show reception where people actually danced

Decor is the first impression. Photos land later. The entertainment team holds every hour in between, including docks, house power, and everyone else’s booth.

What planners should ask before booking event entertainment {#planners}

Association receptions and company welcome parties are a different discipline than private parties. You deal with docks and decorators, house power, run-of-show integration, rooms measured in acres, and a floor full of other people’s investments.

If you plan company nights, client appreciation events, or association opens in Austin or San Antonio, start with sound, power, lighting, and crew roles before you lock a playlist.

Offer we make often: ask for a floor plan review before layout locks. Speaker positions and traffic points interact. Waste stations, bar lines, and registration tables next to an array create hot spots where people stand still. About ten minutes on a diagram can move one or the other. No charge.
